Pricing
You pay for clients who train. Not for names on a list.
Your clients never pay anything, ever. A client counts toward your plan in a month only if they logged at least one session in it. Billed monthly, cancel any time.

annual contract
A seat counts only in a month a trainer's client logged a session. Each seat covers up to 40 active clients; beyond that it's €1.20 per extra active client.
Includes everything in Trainer Pro, plus:
- Everything in Trainer Pro, for every coach
- Create trainer accounts directly, or send signup links
- Activate and deactivate trainers as staff change
- Roster health across every coach in one view
- Hard isolation: no other gym can read your trainers, clients, plans or sessions, enforced in the service layer
Your own branded app
Your logo, name and colours in the app your clients already use. Live in days, no app store involved.
Independent trainer
€19/mo
Available from Trainer tier
Gym or agency
€99/mo
Available from Studio tier
- Your logo and colours on every screen, including the loading screen from the second launch onward
- Your name throughout the app, not ours
- Your name on notifications: "FitLab: today's session is ready"
- Your support address on the help screen, so questions come to you
- Your branding on the emails your clients receive
- Live in a few days: nothing to install, nothing to migrate, no app store involved
White label: your own store listing
€2,500 one-off, then €249/mo
- Published under your own Apple Developer and Google Play accounts; Apple requires it, we handle the submission
- Roughly 6–8 weeks from signing to live in both stores, mostly Apple's review
- Updates ship quarterly on your listing, not monthly; security fixes are the exception
- Existing clients migrate with full history intact, but do have to download a new app
Branded already does almost all of this, at a fraction of the cost, and it's live this week. White label is worth it only when the app is part of how you sell memberships.
We don't sell the source code, and we don't run TrackHQ on your own servers. Everything runs on our infrastructure, with your data isolated from every other gym on the platform.
What it saves you
A trainer running 15 clients on spreadsheets and WhatsApp spends 5–7 hours a month on admin; that's €250–375 at €50/hour. TrackHQ is €29. Keeping one extra client for one extra month covers three to five months of your subscription.
Billing questions
The fine print, made short.
The basics
Do my clients pay anything?
No. Never. The client app is free and has no paid upgrade in it.
What exactly counts as an "active client"?
A client who completed at least one logged session during your billing month. Not a signup, not an assigned plan, not a session they started and abandoned; a session they finished.
What if I log a session on a client's behalf?
It counts. In-person coaching is real coaching.
My client trains with two trainers. Are they billed twice?
Each trainer is billed for their own relationship. One client training with two coaches counts once for each of you, not twice for either.
Moving between tiers
What if I go over my tier mid-month?
Nothing breaks and nothing is blocked. Your dashboard shows your active count against your cap all month. The first month you cross a cap is billed at your old tier: one free crossing. From the month after, you're on the new tier.
What if I have a quiet month?
You drop a tier automatically from the following month. Fewer clients trained, smaller bill, no phone call.
Can I switch between monthly and annual?
Yes. Switching to annual credits whatever's left of the current month.
I'm on annual and I've grown past my cap. What happens?
Your tier is locked for the year at the price you paid. Extra active clients above the cap are billed monthly at €1.20 each, and stop being billed as soon as the count drops.
Money
Is VAT included?
Prices are excluding VAT. If you're VAT-registered in the EU outside Ireland, reverse charge applies.
What if a payment fails?
We retry on days 1, 3, 7 and 14, emailing you each time. On day 15 the account drops to Solo; nothing is deleted, and paying re-activates it immediately.
Refunds?
Monthly plans: cancel any time, effective at the end of the paid period, no refund of the current month. Annual plans: full refund within 14 days of purchase, none after.
Do you put the prices up?
If we do, your price is held for 12 months from the day you started paying.
If you stop paying
What happens to my data if I stop paying?
Your account drops to Solo. Nothing is deleted. Your plans, your clients and every logged set stay exactly where they are.
What happens to my clients?
Your clients keep everything: full training history, logging, and any already-assigned plan runs to its end date. What stops is writing new plans for more than three clients.
What happens to my branding?
Branded reverts to TrackHQ at the end of the period you've paid for. For white label, your app stays in the store for 30 days and then stops receiving updates.
Can I export my data?
Yes, at any time, including after you stop paying.
